Job Description:

We are offering a short-term contract employment opportunity for an Administrative Assistant in the non-profit sector. Based in Fort Myers, Florida, this role involves a range of administrative and customer service tasks.

Job Responsibility:

  • Addressing inquiries by creating routine acknowledgments and other correspondence materials
  • Offering necessary assistance to clients
  • Ensuring the maintenance and preparation of files and records
  • Performing the role of an office receptionist, which includes answering calls and managing visitors
  • Utilizing word processing systems and associated peripherals for accurate and speedy typing
  • Independently composing replies to incoming mails when the attorney's attention is not required
  • Handling the preparation and filing of complex motions, orders, and subpoenas for both depositions and trials
  • Establishing and maintaining a comprehensive filing system
  • Overseeing the completion of monthly reports and data input into the case management system
  • Undertaking related work as required

Requirements:

  • Proven experience in answering inbound calls, demonstrating excellent telephone etiquette and customer service skills
  • Strong competency in data entry, with an emphasis on accuracy and attention to detail
  • Exceptional customer service skills, with a history of effectively addressing and resolving queries or issues
  • Proficiency in email correspondence, with the ability to communicate clearly and professionally
  • Experience handling both inbound and outbound calls, ensuring efficient communication within and outside the organization
  • Advanced knowledge of Microsoft Excel, with the ability to create and manage spreadsheets and reports
  • Proficiency in using Microsoft Outlook for managing emails, appointments, contacts, tasks, and calendar events
  • Skilled in creating effective presentations using Microsoft PowerPoint
  • Excellent command of Microsoft Word for creating, editing, and formatting documents
  • Ability to schedule appointments, manage calendars, and ensure smooth operation of daily administrative tasks
