Job Description:

The Administrative Assistant will be answering all incoming lines for the plant, entering orders into the system, working with Operations Manager and Plant Manager to schedule production and be a liaison with the customer. The Administrative Assistant will troubleshoot any issues with deadlines, invoicing, work with vendors such as cleaning crew or contract employees to hit production timelines. This position does have frequent overtime. This position requires prior experience in manufacturing environment.

Job Responsibility:

  • Address all incoming communication lines within the plant, ensuring smooth operations
  • Efficiently enter and manage purchase orders into the system, monitoring and maintaining accurate records
  • Collaborate closely with the Operations Manager and Plant Manager to schedule and oversee production
  • Act as a point of contact for customers, assisting with inquiries and troubleshooting any service issues
  • Coordinate with vendors, including cleaning crew or contract employees, to ensure production timelines are met
  • Handle any issues related to deadlines and invoicing, ensuring all invoices are approved and processed in a timely manner
  • Provide back office support and help assist customers, ensuring an optimal level of service
  • Oversee and manage manufactured products, ensuring quality and consistency

Requirements:

  • Minimum of 5 years of experience in an Administrative Assistant role or similar position
  • Proven ability to assist customers with exceptional service and support
  • Familiarity with manufactured products is highly desirable
  • Experience in providing comprehensive back office support
  • Proficiency in scheduling, managing appointments, and coordinating team calendars
  • Demonstrated experience in dealing with multiple vendors and managing relationships
  • Skills in managing purchase orders and ensuring timely deliveries
  • Ability to handle approved invoices, with a keen eye for accuracy and detail
