Job Description:

We are offering a Temp to Hire employment opportunity for a detail-oriented Administrative Assistant in the Legal industry, situated in Tulsa, Oklahoma. As an Administrative Assistant, you will be tasked with managing front desk duties, handling sensitive and confidential data, and providing administrative support to case managers and attorneys, some remotely. The role also involves interacting with clients and government agencies, ensuring smooth and efficient office operations.

Job Responsibility:

  • Greet and manage office visitors cordially
  • Effectively answer and route incoming phone calls
  • Input data promptly into our network using Aderant Total Office (ATO)
  • Handle incoming mail by scanning, naming, and importing into ATO
  • Prepare and mail out daily attorney representative forms to new clients
  • Mail out daily mailouts from ATO prepared by attorneys and case managers
  • Send out appropriate letters in response to daily mail
  • Handle daily and monthly expense invoices and monthly collection letters
  • Take invoice payments over the phone from clients
  • Order and maintain all supplies used in the office and kitchen area
  • Provide administrative support to case managers and attorneys
  • Ensure the smooth and efficient running of the office

Requirements:

  • Proficiency in answering inbound calls in a detail-oriented manner
  • Exceptional customer service abilities to cater to client needs
  • Skilled in data entry, ensuring accurate and timely input of information
  • Experience with email correspondence, maintaining detail-oriented and clarity
  • Ability to handle both inbound and outbound calls efficiently
  • Proficient in Microsoft Excel for data analysis and reporting
  • Experience with Microsoft Outlook for managing emails and scheduling
  • Skilled in using Microsoft PowerPoint for creating impactful presentations
  • Proficiency in Microsoft Word for document creation and editing
  • Excellent organization skills to schedule appointments effectively
