Job Description:

We are in search of an Administrative Assistant for a contract to permanent opportunity in Tampa, Florida. This role is situated within a dynamic environment where you'll be supporting various project teams and liaising with clients. The job function entails a range of duties including coordinating project documentation, maintaining job files, and assisting in the preparation of technical reports.

Job Responsibility:

  • Ensure accurate documentation by collaborating with project teams to gather necessary information
  • Assist in the creation of team-specific documents for project tracking
  • Conduct research on property information utilizing internet sources and internal documents
  • Aid in setting up new projects, including the creation of file trees on the network and physical file folders
  • Act as a point of contact between clients, agencies, and project managers to facilitate clear communication
  • Support the creation of client proposals and compile reports, plans, and applications for submission to state and local agencies
  • Prepare hearing folders and exhibits for use in public hearings
  • Manage calendars for designated teams, ensuring seamless scheduling and time management
  • Contribute to business development efforts by researching potential opportunities and clients, and coordinating meetings and presentations
  • Provide general assistance to senior staff as required, demonstrating flexibility and initiative
  • Proficiency in answering inbound calls and managing inbound/outbound calls
  • Demonstrated excellence in customer service
  • Ability to perform data entry tasks with high accuracy
  • Expertise in email correspondence, ensuring prompt and detail oriented communication

Requirements:

  • Proficiency in using Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word
  • Experience in scheduling appointments and managing calendars
  • Familiarity with project management principles and practices
  • Knowledge of Deltek software is preferred
  • Ability to multitask and prioritize tasks according to urgency and importance
  • Excellent organizational and time management skills
