Job Description:

We are offering a short-term part-time contract employment opportunity for an Administrative Assistant in Willoughby, Ohio, United States. The job function involves managing various office tasks, ensuring the smooth running of the office by performing a variety of tasks in a fast-paced and detail-oriented setting.

Job Responsibility:

  • Assisting in the preparation and dispatch of FedEx packages
  • handling the responsibility of document scanning and saving as PDFs, ensuring the efficient operation of office systems
  • performing tasks related to email correspondence and data entry using Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word
  • managing the delivery and receipt of daily mail, ensuring it reaches the appropriate recipients
  • showcasing excellent customer service skills by greeting clients and directing them to the conference room
  • maintaining a detail-oriented office environment by answering the door and dealing with inbound and outbound calls
  • coordinating office activities by scheduling appointments in a timely and organized manner
  • assisting in setting up and cleaning up food for office events or meetings
  • ensuring the proper operation of office equipment, including the snap scanner and tax software

Requirements:

  • Proficiency in answering inbound calls, ensuring customer queries are addressed promptly and professionally
  • demonstrated ability in providing excellent customer service
  • proven experience in data entry with a high level of accuracy
  • skilled in email correspondence, able to respond to and manage emails effectively
  • experience in both inbound and outbound calls, being able to handle multiple lines when necessary
  • proficiency in Microsoft Excel for data management and analysis
  • familiarity with Microsoft Outlook for email communication, scheduling and task management
  • skilled in Microsoft PowerPoint to create, edit and present slide presentations
  • proficiency in Microsoft Word for creating, editing and formatting documents
  • experience in scheduling appointments, managing calendars and coordinating meetings
  • ability to handle document scanning and ensure they are properly stored and organized
  • proven experience in scanning documents with precision
  • skilled in managing daily mail, including receiving, sorting and distributing
  • experience in delivering mail within an organization, ensuring timely delivery to appropriate individuals
