Temporary Administrative Assistant within Student Support Services Department. Responsibilities include advising students, directing questions to Program Chairs, maintaining communication, managing student files, auditing paperwork, monitoring student progress, supporting end-of-program processing, assisting with events, and maintaining student database.
Job Responsibility:
Working directly with current students provide baseline advising to help student remain on track with registration and course progression
Directing the students, as needed, with their questions and concerns to the Program Chairs
Maintaining consistent communication with Program Chairs and specific faculty about student progress, needs, and requests for support
Maintaining student files, both electronically and hard copies
Auditing student files for appropriate paperwork, deadlines and tracking progress of coursework
Monitoring students on Leave of Absence for return dates
Monitoring students that have expiring Incomplete grades for completion of course work and submitting change of grade forms with program chair approval to the Registrar
Provide audited student records to the Administrative Coordinator/Assistant – Credentials (Licensure) and Degree Completion Support Services for end of program processing
Assist with Master’s degree coordination (oversee the documentation of student work-thesis, research posters, DocuSign cover pages submitted to the Google Drive)
Assist in the planning and implementation of college events
Assisting in maintaining the student information database (Box, Monday.com, Tableau, etc.)
Drafting memos, letters, and emails.
Requirements:
Mastery in Microsoft Office Suite, including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word
Proficient in answering inbound calls, demonstrating excellent customer service skills
Ability to handle both inbound and outbound calls efficiently
Strong data entry skills with high attention to detail
Experience in managing email correspondence professionally and promptly
Demonstrated ability to schedule appointments, keeping in mind the priorities and schedules of all involved parties
Exceptional customer service skills, with the ability to handle customer queries and complaints effectively
Excellent communication and interpersonal skills
Ability to multitask and manage time effectively
Must be highly organized and able to maintain a system of tracking, monitoring, and prioritizing tasks.
