Job Description:

You are a motivated and organised professional with a proven track record in administrative or business support roles. Your exceptional attention to detail, ability to manage competing priorities, and strong communication skills will enable you to thrive in this role.

Job Responsibility:

  • Provide high-level administrative support, including drafting and managing correspondence, reports, and presentations
  • Coordinate and manage calendars, meetings, and events, ensuring alignment with team priorities
  • Prepare and distribute accurate meeting agendas and minutes
  • Handle incoming and outgoing correspondence, ensuring timely and professional communication
  • Manage and maintain records, databases, and filing systems, ensuring compliance with organisational policies
  • Oversee procurement activities, including raising purchase orders, tracking invoices, and monitoring budgets
  • Coordinate travel arrangements, including bookings, itineraries, and expense claims
  • Support recruitment processes, including scheduling interviews and on boarding new staff
  • Identify and implement process improvements to enhance operational efficiency
  • Liaise with internal and external stakeholders to facilitate effective communication and work flow
  • Ensure compliance with departmental policies, procedures, and relevant legislation

Requirements:

  • Demonstrated experience in providing high-level administrative support in a professional setting
  • Proficiency in Microsoft Office Suite and relevant business systems
  • Excellent written and verbal communication skills, including the ability to draft correspondence and reports
  • Strong organisational and time management skills, with the ability to prioritise tasks effectively
  • Ability to work independently and as part of a team in a fast-paced environment
  • Knowledge of government processes, policies, and procedures is advantageous
