Job Description:

The Executive Assistant/Office Manager will support the CEO and leadership staff. The position is a jack of all trades type role with heavy calendar management, Board support, event planning, research, and travel arrangements. Must be able to set up virtual meetings since the staff is located all over the United States. This cutting edge company is looking for someone that will continue to grow and develop within the organization.

Job Responsibility:

  • Manage and organize the CEO's calendar, ensuring efficient scheduling and rescheduling of appointments
  • Plan, organize, and oversee company events, ensuring they run smoothly and effectively
  • Provide support to the leadership staff, assisting with various tasks as required
  • Coordinate and set up virtual meetings, ensuring all necessary technology is in place and functioning correctly
  • Arrange travel itineraries for the CEO and leadership staff, including flights, accommodations, and transportation
  • Conduct research as needed to support the company's objectives and initiatives
  • Maintain and manage customer relationships using CRM software
  • Prepare and manage correspondence, ensuring clear and effective communication
  • Arrange and manage board presentations, ensuring all materials are prepared and presented professionally
  • Utilize Concur for expense management and reporting
  • Ensure the setup and cleanup of conference rooms for meetings and events

Requirements:

  • Minimum of 3 years of experience in an Executive Assistant role or similar position
  • Proficient in using Concur software for expense reporting and invoice management
  • Experience with Customer Relationship Management (CRM) systems
  • Strong skills in calendar management and scheduling
  • Excellent communication skills, both written and verbal
  • Ability to coordinate and manage conference calls effectively
  • Experience in handling detail-oriented correspondence
  • Proven ability to prepare board presentations and reports
  • Proficiency in creating presentations using various software tools
  • Experience in conference planning and coordination
  • Capable of handling conference room setup and cleanup
  • Experience in booking and managing travel arrangements for executives
