The Executive Assistant plays a key role in providing administrative and operational support to executives while ensuring smooth daily operations. This position requires strong organizational skills, attention to detail, and the ability to handle confidential information. The role involves managing schedules, travel logistics, project coordination, event planning, and various administrative tasks while working collaboratively with both internal and external stakeholders.
Job Responsibility:
Maintain and organize executive calendars by scheduling meetings and prioritizing appointments
Coordinate meeting logistics, including preparing materials and ensuring readiness
Process expense reports while adhering to company policies
Act as a point of contact for meeting participants and provide communication support
Arrange domestic and international travel, including transportation and accommodation
Troubleshoot travel-related issues and ensure executives have necessary travel documents
Plan events, conferences, and meetings, managing logistics and details
Track project timelines and provide regular updates to stakeholders
Update and maintain accurate records in CRM platforms like Salesforce
Incorporate meeting notes, client information, and perform routine data audits
Develop professional reports, presentations, or materials, ensuring brand consistency
Contribute to office operations as needed, including backup support for team members
Requirements:
5+ years as an Executive Assistant or in a similar administrative role supporting leadership
Proven ability to manage complex schedules and travel arrangements
Familiarity with CRM tools, preferably Salesforce
Proficiency in Microsoft Office Suite (Outlook, PowerPoint, etc.)
Basic skills in graphic design or presentation software are a plus
Strong organizational, multitasking, and time-management abilities
Excellent verbal and written communication
Ability to work independently and adapt in a fast-paced environment
Experience supporting fast paced sales teams
Experience in using Cisco Webex Meetings is required for coordinating online meetings and webinars
Adept at using Concur for travel and expense management
Proficiency in CRM is essential to ensure effective customer relationship management
Strong Calendar Management skills for scheduling and organizing meetings, appointments, and events
Excellent Communication skills to interact effectively with team members and clients
Ability to manage Conference Calls for seamless remote communication
Skilled at handling Correspondence, including emails, reports, and other forms of business communication.
