The Executive Assistant will cater to the diverse needs of the CEO and the organization, ensuring smooth operations, effective communication, and efficient administrative tasks. The role requires coordination with both internal staff and Board members and includes managing confidential communications and cross-departmental collaboration.
Job Responsibility:
Efficiently handle the CEO's calendar management, travel plans, budget monitoring, and scheduling priorities
Draft correspondence and communications on behalf of the CEO
Ensure seamless collaboration with internal executives and staff
Oversee procurement, payment requests, and credit card reconciliations
Prepare and compile relevant materials for the CEO's meetings, events, and social engagements
Manage CEO's memberships with select organizations
Coordinate and prepare materials for Board and Committee meetings
Organize and maintain Board and Governance documents
Coordinate and lead special projects on behalf of the CEO
Maintain a high level of discretion in handling sensitive and confidential information
Requirements:
Proven proficiency in ADP - Financial Services
Extensive knowledge and experience in using Cisco Webex Meetings
Familiarity with Concur
Demonstrated ability to use CRM software
Experience with Kronos Timekeeping System
Proficiency in using About Time
Skilled in Calendar Management
Excellent communication skills
Experience in managing and coordinating conference calls
Ability to handle correspondence
