To provide comprehensive executive support to our Chief People Officer (CPO) and Chief Marketing Officer (CMO) by undertaking a wide range of administrative and strategic support duties associated with the daily management and operation of the CPO/CMO.
Job Responsibility:
Calendar management to ensure the CPO/CMO's time is managed according to their priorities
Anticipate the needs of the executives and proactively address issues
Organise meetings and events – team meetings, offsites, workshops, team conferences, and functions
Prepare agendas, take meeting minutes, and follow up on action items
Screen requests, manage and direct to the appropriate person or department
Sort incoming emails and actioning responses where possible
Draft and proofread email correspondence and other documents
Coordinating Board Papers
Prepare reports and presentations
Follow up stakeholders to ensure deliverables are met
Collaborate with EA cohort to streamline portfolios and meetings
Travel bookings and coordination
Onboard/offboard direct reports to the CPO/CMO, creating senior orientation plans and organising relevant requirements with other internal stakeholders
Coding invoices for approval
Support EA cohort to ensure adequate coverage during leave periods
Requirements:
Commitment to engage and align with HammondCare’s Christian Mission, Motivation and Mission in Action
5+ years’ experience supporting a minimum of two C suite executives simultaneously
Advanced computer skills / knowledge
Excellent communication skills, ability to collaborate and work well with others
Excellent attention to detail, organisational skills and ability to prioritise competing demands and work to deadlines
Ability to plan and organise meetings, office events, and guest hospitality
Ability to plan time and cost-effective travel and accommodation
Resilience and flexibility as the role evolves
Display initiative and proactivity/skills in Microsoft 365, Teams (desirable)
