A highly respected company in Solana Beach, CA, is seeking a proactive and polished Executive Assistant to provide administrative and operational support to the executive team. As an Executive Assistant, you will serve as a right-hand partner to the executives, ensuring their schedules are managed efficiently, meetings and projects run smoothly, and key objectives are met. Job Responsibility:
Manage high-volume calendars and coordinate meetings, events, and travel arrangements
Draft and edit correspondence, presentations, and other documents on behalf of the executives
Act as a gatekeeper, managing communication flow (email, calls, etc.) and ensuring timely follow-ups
Prepare reports, agendas, and meeting minutes for executive-level meetings
Liaise with internal teams and external stakeholders, representing the executive team professionally
Facilitate special projects and research items as needed to support business objectives
Ensure the executives' time is maximized by anticipating needs and proactively addressing potential conflicts
Requirements:
Bachelor's degree in Business Administration or a related field preferred
3+ years of experience in an executive assistant role or similar
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and scheduling tools
Excellent written and verbal communication skills
Strong organizational skills with exceptional attention to detail
Ability to manage highly confidential information with discretion
Thrives in a fast-paced environment and can adapt to changing priorities
