We are seeking a highly organized and proactive Executive Assistant to support the CEO/Managing Director of our property investment company. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to manage multiple tasks efficiently. This role requires a high level of discretion and the ability to handle confidential information.
Job Responsibility:
Provide comprehensive administrative support to the CEO/Managing Director, including managing calendars, scheduling meetings, and handling correspondence
Act as the primary point of contact between the executive and internal/external stakeholders, ensuring clear and effective communication
Prepare, review, and manage documents, reports, and presentations for meetings and other business activities
Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items
Plan and coordinate travel itineraries, accommodations, and logistics for business trips
Assist in managing and tracking various projects, ensuring deadlines are met and progress is communicated to relevant parties
Oversee office operations, including ordering supplies, managing office equipment, and ensuring a well-organized work environment
Assist in planning and organizing company events, conferences, and other business functions
Handle expense reports, invoices, and other financial documentation, ensuring accuracy and timely processing
Maintain the highest level of confidentiality and discretion in handling sensitive information
Requirements:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
Excellent verbal and written communication skills, with the ability to interact professionally with all levels of the organization
Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities
High level of accuracy and attention to detail in all aspects of work
Ability to anticipate needs, identify issues, and develop effective solutions
Strong interpersonal skills, with the ability to build and maintain positive relationships with colleagues and stakeholders
Demonstrated ability to handle confidential information with integrity and discretion
