Job Description:

We are seeking a highly organized and proactive Executive Assistant to support the CEO/Managing Director of our property investment company. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to manage multiple tasks efficiently. This role requires a high level of discretion and the ability to handle confidential information.

Job Responsibility:

  • Provide comprehensive administrative support to the CEO/Managing Director, including managing calendars, scheduling meetings, and handling correspondence
  • Act as the primary point of contact between the executive and internal/external stakeholders, ensuring clear and effective communication
  • Prepare, review, and manage documents, reports, and presentations for meetings and other business activities
  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items
  • Plan and coordinate travel itineraries, accommodations, and logistics for business trips
  • Assist in managing and tracking various projects, ensuring deadlines are met and progress is communicated to relevant parties
  • Oversee office operations, including ordering supplies, managing office equipment, and ensuring a well-organized work environment
  • Assist in planning and organizing company events, conferences, and other business functions
  • Handle expense reports, invoices, and other financial documentation, ensuring accuracy and timely processing
  • Maintain the highest level of confidentiality and discretion in handling sensitive information

Requirements:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
  • Excellent verbal and written communication skills, with the ability to interact professionally with all levels of the organization
  • Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities
  • High level of accuracy and attention to detail in all aspects of work
  • Ability to anticipate needs, identify issues, and develop effective solutions
  • Strong interpersonal skills, with the ability to build and maintain positive relationships with colleagues and stakeholders
  • Demonstrated ability to handle confidential information with integrity and discretion
