Job Description:

We are offering a permanent employment opportunity for an Executive Assistant in our Charlotte, North Carolina office, part of the detail oriented Financial Services industry. The selected candidate will be tasked with managing office operations, supporting our management team, and ensuring efficient administrative processes.

Job Responsibility:

  • Provide comprehensive administrative support to two Managing Directors, including calendar management and scheduling
  • Coordinate and manage international and domestic travel arrangements for the executive team
  • Handle expense reporting using Concur and ensure all reports are submitted timely and accurately
  • Take on the role of office manager, overseeing daily operations and ensuring everything runs smoothly
  • Ensure all conference rooms are appropriately set up for meetings and other events
  • Handle mail distribution within the office and carry out other general administrative duties as needed
  • Provide support to a new Vice President, assisting with onboarding and ongoing administrative needs
  • Lead and be proactive in managing office tasks, showing flexibility and adaptability to changing circumstances
  • Assist with personal travel arrangements for the executive team, ensuring a seamless experience
  • Oversee the management of detail oriented services within the office, ensuring all tasks are completed efficiently

Requirements:

  • Must have experience in the Financial Services industry
  • Proven work experience as an Executive Assistant - at least 5+ years
  • Proficiency in managing executive calendars and organizing meetings
  • Demonstrated ability to book and coordinate travel arrangements including flights, accommodations, and transportation
  • Familiarity with Concur Travel and other travel management software
  • Experience in arranging both domestic and international travel
  • Strong skills in expense reporting and managing expense reports
  • Knowledge of financial services is a plus
  • Excellent communication and interpersonal skills
  • Detail-oriented with the ability to manage multiple tasks simultaneously
  • Ability to maintain confidentiality and handle sensitive information with discretion
