We are in search of a proficient Executive Assistant to become an integral part of our team. This role is based in Plano, Texas, United States, and is focused on providing comprehensive support to our CEO. As an Executive Assistant, you will be entrusted with managing the CEO's calendar, coordinating travel arrangements, preparing reports and presentations, and managing internal and external communication. Job Responsibility:
Provide extensive support to the CEO, acting as the primary point of contact for all matters, while maintaining utmost confidentiality and professionalism
Ensure efficient management of the CEO’s calendar, prioritizing meetings and aligning them with business objectives
Handle complex travel coordination, including flight bookings, accommodations, and itineraries, keeping cost-efficiency in mind
Prepare and compile reports, presentations, and other materials for various meetings, including board and investor presentations
Act as a gatekeeper, effectively screening calls, emails, and visitors to the CEO's office
Draft, edit, and proofread correspondence, memos, and other communication on behalf of the CEO
Manage and coordinate internal and external communication, ensuring all key stakeholders are updated promptly
Take charge of special projects and initiatives assigned by the CEO, liaising cross-functionally with other departments to achieve goals
Track progress and follow up on action items from executive meetings and strategy sessions
Build and maintain positive relationships with internal executives, board members, investors, clients, and other external partners
Assist in organizing high-level events, including executive offsites, leadership meetings, and industry conferences
Handle administrative tasks related to the executive office, such as budgeting for executive-related expenses, managing vendor relationships, and processing expense reports.
Requirements:
Minimum of 8 years of experience providing high-level executive support to a C-suite executive in a corporate environment
Expertise in MS Office Suite (Outlook, Word, Excel, PowerPoint) with the ability to create complex reports, presentations, and spreadsheets
Extensive experience using Concur for expense reporting, travel coordination, and budgeting
Strong organizational and calendar management skills, with the ability to prioritize and schedule meetings efficiently
Experience handling confidential and sensitive information with the highest level of professionalism and discretion
Exceptional written and verbal communication skills, including the ability to draft and proofread executive correspondence
Proven ability to manage complex travel arrangements, including international itineraries and last-minute changes
Strong problem-solving skills and ability to work independently in a fast-paced, high-pressure environment
Ability to liaise with senior executives, board members, and external stakeholders with professionalism and diplomacy.
