We are offering a contract to permanent employment opportunity for an Executive Assistant in the Real Estate & Property industry. Based in Calabasas, California, the selected candidate will support our CFO with a variety of administrative tasks, ranging from managing schedules to facilitating interdepartmental collaboration.
Job Responsibility:
Accurately process and manage expense reports
Maintain an organized and updated calendar, ensuring efficient time management
Facilitate clear communication between the CFO's office, internal departments, and external organizations
Assist in the preparation of confidential correspondence and communications
Coordinate travel plans and itineraries
Compile and distribute information and updates to team members and stakeholders as needed
Manage projects from conception to completion, addressing and resolving issues promptly
Track and monitor progress against business objectives and goals, providing regular updates to the CFO and key stakeholders
Prioritize conflicting needs and manage tight deadlines effectively
Perform other tasks as assigned
Requirements:
Minimum of 5 years' experience in an Executive Assistant role, preferably within the Real Estate & Property industry
Proficiency in ADP - Financial Services for managing financial tasks
Ability to effectively use Cisco Webex Meetings for remote communication and collaboration
Experience with Concur for managing expenses and invoices
Familiarity with CRM systems for customer relationship management
Knowledge of Kronos Timekeeping System for efficient time management
Proficiency in using About Time for project tracking and management
Strong calendar management skills to organize and schedule appointments
Excellent communication skills, both written and verbal, for effective correspondence
Experience in managing conference calls, ensuring smooth and efficient communication
Ability to handle correspondence professionally and promptly
