Job Description:

This role is within the energy technology industry, where you will be instrumental in shaping the implementation of the energy transition. As an Executive Assistant, you will be the liaison between upper management and the production workforce, ensuring smooth communication and operations.

Job Responsibility:

  • Take on the role of primary contact for security guard and manage the internal badge system
  • Facilitate and coordinate meetings with both internal and external participants
  • Actively manage and update customer credit records
  • Process customer credit applications with accuracy and efficiency
  • Handle incoming and outgoing mail, packages, and deliveries
  • Arrange and assist in the facilitation of company surveys and follow-up activities
  • Coordinate with venues, caterers, entertainment for company events and activities
  • Handle travel arrangements and manage expense reports
  • Maintain and administer official target tool while tracking and updating monthly numbers
  • Create production documents, check sheets, and generate annual factory calendar
  • Organize charity events and manage accounts for refreshments as part of the Great Place to Work initiative
  • Aid the marketing department in duties such as attending trade shows, shipping marketing materials, and creating marketing packets
  • Record meeting minutes and ensure the distribution of internal phone directory
  • Prepare sales reports for the US Sales Teams

Requirements:

  • Proficiency in ADP - Financial Services
  • Familiarity with Cisco Webex Meetings
  • Experience with Concur
  • Ability to use CRM systems
  • Knowledge of Kronos Timekeeping System
  • Comfortable with About Time software
  • Excellent skills in Calendar Management
  • Strong Communication abilities
  • Ability to manage Conference Calls
  • Experience in handling Correspondence
  • Ability to Book Travel Arrangements
  • Experience in Coordinating Travel Arrangements
  • Capable of Handling Travel Arrangements
  • Understanding of Travel Arrangements
  • Proficiency in Scheduling Appointments and Calendar Management
  • Experience in taking Meeting Minutes
  • Ability to handle Expense Reporting
  • Knowledge of Expense Reports
  • Ability to Complete Expense Reports
