Job Description:

The Facilities Manager is responsible for maintaining the functionality, security, and safety of company facilities, while also managing budgets, site operations, and administrative documentation. This role requires a combination of organizational, financial, and technical skills to ensure efficient site management and alignment with company objectives.

Job Responsibility:

  • Oversee the day-to-day operations of the company's facilities, including repairs, maintenance, and compliance with safety regulations
  • Coordinate with vendors and contractors for repairs, renovations, and preventative maintenance
  • Conduct regular site inspections to identify issues and ensure cleanliness and operational efficiency
  • Code and process invoices for facilities-related expenses accurately and promptly
  • Ensure all financial documentation complies with company and legal standards
  • Review and approve vendor invoices, maintaining detailed records for audits and reporting
  • Develop, monitor, and manage the facilities budget, ensuring adherence to financial goals
  • Track expenditures and forecast future expenses for maintenance, supplies, and capital improvements
  • Provide reports to management on budget status and variances
  • Maintain relationships with service providers and negotiate contracts to optimize cost-efficiency and quality
  • Evaluate existing vendor agreements and recommend cost-saving alternatives
  • Ensure compliance with occupational health and safety regulations within facilities
  • Implement policies and procedures to maintain the safety of employees and visitors
  • Supervise facilities staff, including training, scheduling, and performance evaluations
  • Act as the primary contact for facilities-related inquiries, emergencies, and escalations

Requirements:

  • Proven experience in facilities management, including site and vendor management, and budget oversight
  • Strong knowledge of financial processes including invoice coding and budget forecasting
  • Familiarity with safety regulations and building codes
  • Ability to manage multiple projects, prioritize tasks, and solve problems efficiently
  • Excellent communication and negotiation skills to work with both internal teams and external vendors
  • Proficiency in facilities management software and Microsoft Office Suite
  • Accounting Software Systems, ADP - Financial Services, Concur, CRM, Dentrix Dental Software, About Time, Accounting Functions, Accounts Payable (AP), Accounts Receivable (AR), Answering Inbound Calls
