The Facilities Manager is responsible for maintaining the functionality, security, and safety of company facilities, while also managing budgets, site operations, and administrative documentation. This role requires a combination of organizational, financial, and technical skills to ensure efficient site management and alignment with company objectives.
Job Responsibility:
Oversee the day-to-day operations of the company's facilities, including repairs, maintenance, and compliance with safety regulations
Coordinate with vendors and contractors for repairs, renovations, and preventative maintenance
Conduct regular site inspections to identify issues and ensure cleanliness and operational efficiency
Code and process invoices for facilities-related expenses accurately and promptly
Ensure all financial documentation complies with company and legal standards
Review and approve vendor invoices, maintaining detailed records for audits and reporting
Develop, monitor, and manage the facilities budget, ensuring adherence to financial goals
Track expenditures and forecast future expenses for maintenance, supplies, and capital improvements
Provide reports to management on budget status and variances
Maintain relationships with service providers and negotiate contracts to optimize cost-efficiency and quality
Evaluate existing vendor agreements and recommend cost-saving alternatives
Ensure compliance with occupational health and safety regulations within facilities
Implement policies and procedures to maintain the safety of employees and visitors
Supervise facilities staff, including training, scheduling, and performance evaluations
Act as the primary contact for facilities-related inquiries, emergencies, and escalations
Requirements:
Proven experience in facilities management, including site and vendor management, and budget oversight
Strong knowledge of financial processes including invoice coding and budget forecasting
Familiarity with safety regulations and building codes
Ability to manage multiple projects, prioritize tasks, and solve problems efficiently
Excellent communication and negotiation skills to work with both internal teams and external vendors
Proficiency in facilities management software and Microsoft Office Suite
