Job Description:

The fleet coordinator is responsible for supporting the day-to-day operations of the corporate fleet. You will ensure drivers are following their required maintenance schedules, conducting appropriate use of company vehicles, and handling vehicle transitions and replacements. Responsibilities include preparing reports, managing expenses, resolving issues, and maintaining compliance with licensing and registration. The job requires 4+ years of experience in fleet coordination or related services, excellent communication skills, advanced computer skills, and conflict resolution.

Job Responsibility:

  • assist drivers with any vehicle related problems
  • find repair solutions for drivers and manage to the lowest expense/budget cost
  • negotiate best possible outcomes for driver satisfaction and resolve conflicts, and escalate as and when required
  • assist with accident tracking to ensure drivers are kept informed of solutions and repair progress
  • ensure correct information is being recorded in all company databases or dashboards
  • minimize vehicle repair time and educate drivers on maintenance process and procedure
  • manage all required vehicle licensure and registration and recall notices
  • provide reports to management on budgeting, schedules, maintenance and fleet progress
  • develop methods to decrease cost and improve efficiency
  • assist, plan and manage vehicle purchases and replacements
  • manage vehicle replacement, vehicle transition or move cycle with fleet drivers
  • establish and maintain effective working relationships with business leaders and internal stakeholders

Requirements:

  • high school degree or equivalent
  • 4+ years of fleet and or related coordinator services
  • ability to handle client expectations and conflict
  • knowledge or understanding of how to manage and work with fleet supplier
  • excellent interpersonal skill and an empathetic communication style
  • negotiation and conflict resolution skills
  • good time management and the ability to prioritize tasks and remain calm under pressure
  • intermediate/advanced computer skills with excel, outlook and word
  • ability to adapt to new tools and software including fleet specific software tools
  • excellent communication skills both verbal and written
