Job Description:

As the Front Desk Coordinator, you will be at the heart of our operations, ensuring smooth functioning of the office and providing excellent service to our visitors. Your main duties will involve managing the front desk, responding to multi-line phone system, scheduling appointments, and assisting with administrative tasks.

Job Responsibility:

  • Oversee the front desk operations to ensure smooth workflow
  • Welcome and guide visitors to their respective destinations
  • Handle a multi-line phone system, answer incoming calls and route them to the appropriate party
  • Schedule appointments in a timely and organized manner
  • Uphold office security protocols to protect the company and its visitors
  • Manage incoming and outgoing correspondence to maintain communication flow
  • Keep track of supply inventory to ensure availability of necessary resources
  • Provide administrative assistance to support daily office operations
  • Utilize Microsoft Excel, Microsoft Outlook, and Microsoft Word for data entry and organizing files
  • Deliver superior customer service and concierge services, reflecting the company's commitment to quality

Requirements:

  • Proven experience in Administrative Assistance
  • Must be proficient in Answering Multi-Line Phone System
  • Experience in providing Concierge Services will be a plus
  • Strong Customer Service skills are essential for this position
  • Must have the ability to perform Data Entry tasks with accuracy
  • Excellent Interpersonal Skills are required for effective communication
  • Proficiency in Microsoft Excel is necessary for managing and analyzing data
  • Must be able to use Microsoft Outlook for managing emails and schedules
  • Knowledge of Microsoft Word is required for document creation and editing
  • Ability to manage and Organize Files efficiently is needed for this role
