Job Description:

We are seeking a proficient HVAC Dispatcher to join our team in the service industry, located in Walnut, California. This role involves coordinating service orders, managing customer communications, assisting with office management procedures, and providing support to the Office Manager and Sales Representatives. Additionally, the position requires handling technical tools such as ADP software, About Time software, CRM systems, and maintaining customer records.

Job Responsibility:

  • Manage and dispatch HVAC service orders to technicians throughout the day, ensuring efficient workflow
  • Use mobile phone and iPad tools for effective communication with technicians and other personnel
  • Professionally handle incoming office phone calls, providing timely and accurate information
  • Keep customer automated systems up-to-date to track and close work orders
  • Assist Office Manager and Sales Representatives in their daily tasks for smooth operation
  • Perform on-call duty every other week to ensure continuous service
  • Generate purchase orders for technicians as needed, adhering to company guidelines
  • Use proficiency in computer programs and CRM to maintain accurate customer and service records
  • Apply strong writing and editing skills to draft service calls and time and material approvals
  • Close service orders promptly and efficiently, contributing to overall customer satisfaction

Requirements:

  • Minimum of 2 years of experience in an HVAC dispatcher role within the HVAC service industry
  • Proficient in ADP - Financial Services software
  • Strong computer skills and ability to use various computer programs
  • Experience in using CRM software
  • Familiarity with IBM AS/400 system
  • Knowledge of Management System operations
  • Proficiency in using About Time software
  • Excellent communication skills, both verbal and written
  • Ability to answer and manage inbound calls effectively
  • Experience in handling billing functions
