Job Description:

We are offering a permanent employment opportunity for a Legal Secretary in our office located in Roanoke, Virginia. As a Legal Secretary, you will be responsible for a range of tasks including managing day-to-day office operations, handling legal documentation, and providing support to our legal team.

Job Responsibility:

  • Oversee the daily operations of the office including checking mail, maintaining office plants, and ensuring all equipment is functioning properly
  • Register guests arriving at the office and communicate their arrival with the building management
  • Manage legal documentation and maintain an organized filing system
  • Conduct research and prepare briefings as necessary
  • Utilize Microsoft Office Suites, including Excel and Outlook, to manage calendars, organize meetings, and handle other administrative tasks
  • Use LexisNexis and other management systems for legal research and case management
  • Handle billing functions and maintain accurate financial records
  • Take dictation and transcribe notes for legal proceedings
  • Train on conflict checks and manage physical files
  • Learn quickly and adapt to changing situations in a dynamic office environment

Requirements:

  • Proficiency in using LexisNexis for legal research
  • Familiarity with a Management System for administrative tasks
  • Advanced skills in Microsoft Excel for data management and reporting
  • Proficiency in Microsoft Office Suites for creating and editing detail-oriented documents
  • Proficiency in Microsoft Outlook for email and calendar management
  • Ability to handle Billing Functions for accounting and financial tasks
  • Experience in Briefing for effective communication with legal teams
  • Proficiency in Calendar Management for scheduling and organizing tasks
  • Ability to perform Dictation for transcribing verbal instructions into written format
  • Experience in Documentation for maintaining and managing legal records
