Our Client is seeking a Legal Services Assistant to support the attorneys in our Intellectual Property group. This role involves assisting both attorneys and paralegals with complex clerical tasks across the legal process. The ideal candidate will thrive in a fast-paced environment, handle time-sensitive matters, and maintain strict confidentiality.
Job Responsibility:
Provide administrative support with a strong focus on delivering exceptional client service
Utilize firm technology tools to improve efficiency in legal processes
Assist with new matter intake, including performing conflict checks
Scan, save, and distribute incoming mail from the USPTO, foreign agents, and clients
Perform photocopying and assist with printing as needed
Prepare and process outgoing correspondence through email, regular mail, or courier services
Assist with billing and expense inquiries, and review invoices
Coordinate travel arrangements as required
Support technology-related assignments
Draft correspondence, memos, and legal documents, ensuring proper formatting and compliance with legal staff requirements
Proofread and edit documents for grammar, punctuation, and consistency
Manage scheduling of meetings, client appointments, and case dates across multiple legal assignments
Answer and direct telephone calls for legal matters
Maintain client and matter data in integrated databases, adhering to firm policies
Organize and manage both electronic and physical files in accordance with firm guidelines
Foster positive relationships with external clients, internal teams, and co-workers, contributing to team efforts as needed
Support firm initiatives and contribute to improving processes and policies
Manage client requests and deadlines efficiently
Compile data and perform research as needed
Requirements:
Five years of experience in intellectual property administrative legal support
Experience with intellectual property docketing systems (e.g., CPi, AltLegal) is a plus
Strong clerical skills and knowledge of grammar, spelling, and punctuation
Excellent customer service skills, in-person, by phone, and email
High attention to detail with the ability to work independently and proactively
Intermediate or advanced proficiency in Microsoft Office products (Word, Excel, PowerPoint)
Nice to have:
Experience with intellectual property docketing systems (e.g., CPi, AltLegal)
