This role is crucial to our healthcare team, with responsibilities ranging from patient registration to managing patient records, and coordinating with medical staff to ensure seamless patient care.
Job Responsibility:
Provide a warm, detail oriented welcome to patients upon their arrival at the clinic
Handle incoming calls, providing information or directing them to the appropriate departments or personnel
Manage the scheduling and confirmation of patient appointments, while keeping the calendar updated and notifying patients of their upcoming appointments
Gather and input patient information accurately, including personal details, insurance details, and medical history
Maintain and manage patient files and records in accordance with HIPAA regulations, ensuring they are updated, organized, and confidential
Verify patient insurance information and liaise with insurance companies for approval of services or procedures as needed
Process and manage patient payments, including issuing receipts for co-pays, deductibles, and outstanding balances
Facilitate effective communication with doctors, nurses, and other healthcare professionals to ensure coordinated patient care and appointment scheduling
Prepare and dispatch appointment reminders, patient forms, or follow-up letters as necessary
Oversee office supplies, ensuring necessary materials are available and properly stocked
Maintain a clean, comfortable, and inviting reception area for patients and visitors
Address patient inquiries regarding medical procedures, billing questions, and office policies in a detail oriented and courteous manner
Assist patients with check-in and check-out, ensuring all necessary paperwork is completed, and scheduling any follow-up appointments or next steps
Requirements:
Proficiency in answering and managing inbound calls, providing information, and redirecting calls as necessary
Ability to handle billing functions, including processing payments and maintaining financial records
Familiarity with creating and interpreting charts and graphs, ideally in a medical context
Experience checking in patients, managing appointments, and updating patient records
Strong communication skills to answer patient queries effectively and professionally
Knowledge of medical terminology and procedures is beneficial
High level of organization and attention to detail
Ability to maintain patient confidentiality and adhere to HIPAA guidelines
Proficiency in using medical software systems for scheduling and record keeping
Previous experience in a medical front desk role is preferred
Excellent customer service skills and ability to handle patient concerns with empathy
Ability to multitask and manage time effectively in a fast-paced environment
