Job Description:

The role is primarily involved in overseeing general office operations and providing back office support.

Job Responsibility:

  • Managing inbound phone calls and acting as the first point of contact for office visitors
  • Handling the preparation of bids and order office supplies as needed
  • Overseeing payroll operations for a team size of 18 people
  • Providing support with Accounts Payable (AP) and Accounts Receivable (AR)
  • Navigating Accounting Software Systems and QuickBooks for financial tasks
  • Utilizing Basic Office Equipment and demonstrating Basic Office Skills
  • Operating Switchboard - Phones 1 - 10 Lines and using smartphones for effective communication
  • Offering administrative office support and ensuring smooth operations

Requirements:

  • Minimum of 3 years of experience as an Office Manager
  • Proficiency in Accounting Software Systems
  • Experience with ADP - Financial Services
  • Familiarity with Accounts Payable (AP) and Accounts Receivable (AR) processes
  • Skilled in answering inbound calls professionally and efficiently
  • Proficiency in using QuickBooks for financial management
  • Experience in administrative office duties and back office support
  • Ability to operate basic office equipment
  • Strong basic office skills including filing, scheduling, and correspondence
  • Proficiency in using smartphones for business communication
  • Experience with switchboard operation, specifically for 1 - 10 lines
  • Ability to efficiently order office supplies as needed
  • Experience in managing bi-monthly payroll
