We are offering a short term contract employment opportunity for an Office Services Associate based in Los Angeles, California. As an Office Services Associate, you will be integral in providing back office services for various teams, including reprographics, copy and mail services, and supporting other service lines as needed.
Job Responsibility:
Accurately and efficiently process office service tasks, primarily reprographics, mail and intake functions
Maintain detailed logs for all office services work
Ensure job tickets are properly filled out prior to initiating work
Manage the set-up and breakdown for events, including ordering meals and managing hospitality inventory
Communicate effectively with supervisors or clients regarding job or deadline issues
Adhere to established procedures to run jobs in the correct order
Troubleshoot basic equipment problems and place service calls when needed
Prioritize workflow to meet contracted deadlines for accepting, completing, and delivering all work
Interact with clients in person, over the phone, or electronically, providing exceptional customer service
Load machines with various paper and toner supplies
Ensure quality assurance on own work and work of others
Requirements:
Proficiency in Customer Service practices and principles
Demonstrated understanding of Office Functions and Operations
Familiarity with company Procedures and Policies
Experience in Answering Inbound Calls efficiently and professionally
Proven capability in Supervising team members and operations
Knowledge of About Time software or similar time-tracking applications
Familiarity with Hiring Processes and recruitment protocols
Proficiency in Scanning and digitizing documents
Experience in Receptionist Duties and front desk management
Ability to Troubleshoot common office issues
Experience in Facility management and maintenance
Comfortable with Digital tools and platforms
Excellent Communication Skills, both written and verbal
Understanding of Warehouse Management principles
Experience in Scanning Documents and maintaining digital records
Ability to Maintain Logs and records accurately
Familiarity with Machinery used in office environment
Experience in handling Paper documents and records
Knowledge of Quality Assurance protocols and standards
Ability to Distribute Faxes promptly and accurately
Willingness to work Overtime as per business requirements
Experience in handling Service Calls and customer inquiries
Knowledge of office Setups and configurations
