Job Description:

We are seeking a skilled and detail-oriented Payroll Specialist to join our HR and Finance team. This role provides a great opportunity for an individual with a passion for payroll administration to contribute to the smooth functioning of our payroll processes while ensuring accuracy and compliance.

Job Responsibility:

  • Process weekly, bi-weekly, or monthly payroll for all employees in accordance with company policies and government regulations
  • Ensure accurate calculation of wages, commissions, bonuses, and overtime
  • Manage employee deductions, including taxes, benefits, retirement contributions, and garnishments
  • Reconcile payroll data to ensure accurate payroll entries
  • Maintain and update employee payroll records, including new hires, terminations, and changes in pay
  • Prepare and submit payroll tax filings, ensuring compliance with federal, state, and local tax regulations
  • Respond to employee inquiries regarding payroll-related questions and concerns
  • Prepare and distribute payroll reports to management, HR, and accounting teams as needed
  • Ensure compliance with labor laws and company policies, and stay up to date with changes in payroll-related regulations
  • Assist with year-end payroll activities, including tax form preparation (W-2s, 1099s)
  • Coordinate with HR for accurate tracking of paid time off (PTO), sick days, vacation accruals, and other leave policies
  • Assist in the implementation of payroll system upgrades or changes as needed

Requirements:

  • Proven experience as a Payroll Specialist or similar role in payroll administration
  • In-depth knowledge of payroll software (e.g., ADP, Paychex, QuickBooks) and Microsoft Excel
  • Familiarity with payroll tax regulations and employment laws
  • High attention to detail and strong organizational skills
  • Ability to handle confidential and sensitive information with discretion
  • Strong problem-solving skills and ability to troubleshoot payroll discrepancies
  • Excellent communication skills, both written and verbal, with the ability to explain payroll-related information clearly to employees
  • Ability to work under pressure and meet deadlines in a fast-paced environment
  • Associate's degree in Accounting, Business, or related field preferred (or equivalent work experience)
  • CPP (Certified Payroll Professional) certification is a plus, but not required
