Job Description:

Short-term contract employment opportunity for a Property Administrator in New York. Responsibilities include overseeing the repair process, coordinating with landlords and vendors, tracking repair-related activities, and maintaining relationships with vendors.

Job Responsibility:

  • Oversee the complete repair process and ensure timely progress, by scheduling inspections for completed repairs and facilitating unit access through key collection and lockbox setup
  • Collaborate with landlords and vendors to guarantee that repairs meet inspection standards and comply with requirements
  • Keep track of all activities and costs related to repairs in Salesforce, ensuring entries are accurate and timely
  • Provide clear and prompt updates on repair progress to internal teams to ensure smooth handoffs and alignment
  • Document completed repairs through photos, videos, and notes to support compliance and reporting
  • Source and maintain relationships with vendors, giving priority to Minority and Women-Owned Business Enterprises (M/WBE)
  • Guarantee data integrity and accuracy across all tracking systems
  • Preserve confidential tenant and landlord files within our database
  • Display adaptability by supporting various departmental needs

Requirements:

  • Proficiency with Microsoft Office tools
  • Salesforce experience
  • Interpersonal + Communications skills
  • Nonprofit/Startup
  • Proven ability to manage multiple priorities and deadlines in a fast-paced, deadline-driven environment
  • Familiarity with NYC Housing + Voucher market
  • Strong analytical and problem-solving skills
  • Experience working with vulnerable populations
  • Strong organizational skills with attention to detail to manage workflows and coordinate with vendors and landlords
  • Experience in procurement
  • Experience maintaining accurate records and data in tracking systems or databases
  • Analytical and Reporting Skills
  • Collaboration/teamwork
  • At least 2+ years of experience in operations, logistics coordination, administrative support, or repairs coordination
  • Proven experience managing repairs, working with contractors, or coordinating property maintenance
