Job Description:

Our client, a nonprofit organization, is seeking a highly organized and professional Senior Administrative Assistant to provide high-level support. This role involves assisting the executive team, managing consultants, and coordinating various projects, including a large conference scheduled for December. The position follows a 9/80 schedule, with 9-hour days and every other Friday off.

Job Responsibility:

  • Serving as a liaison between the nonprofit board and executive leadership
  • Managing the executive’s schedule and ensuring seamless coordination of meetings and tasks
  • Overseeing contracted consultants, particularly in outreach efforts, and managing their schedules and deliverables
  • Coordinating with consultants annually, ensuring seamless management of itineraries and research
  • Planning and executing a large-scale conference with over 45 speakers in December
  • Managing client communications, drafting and sending professional correspondence
  • Scheduling and maintaining weekly calendars to ensure consultants remain engaged and productive
  • Setting up and managing training sessions, securing venues, and coordinating logistics
  • Ensuring consultants are connected with providers and facilitating necessary lunch arrangements
  • Assisting with outreach efforts and overseeing training logistics
  • Performing light accounting duties, including processing invoices
  • Attending occasional events to provide on-site support, including event setup and managing check-in

Requirements:

  • Proven experience as a Senior Administrative Assistant or in a similar role
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
  • Excellent organizational and multitasking skills
  • Outstanding written and verbal communication abilities
  • Ability to handle sensitive information with the utmost confidentiality
  • Experience in event planning and coordination
  • Strong attention to detail and problem-solving skills
  • Ability to work independently and manage time effectively in a remote setting
  • Previous experience in the nonprofit sector is a plus
