Job Description:

We are offering a permanent employment opportunity for a Sr. Administrative Assistant in WASHINGTON, District of Columbia. In this role, you will be providing administrative support to various teams within our organization, managing multiple calendars, and handling a variety of tasks related to office management.

Job Responsibility:

  • Efficiently manage and coordinate schedules for several teams, including handling schedule changes and conflicts
  • Accurately process speaker forms and assist with vendor inventory as part of project management duties
  • Develop and distribute slide decks and other content to support team communication
  • Answer inbound calls and handle queries as part of the general office support duties
  • Maintain a detail-oriented office environment by keeping common areas tidy and coordinating catering for meetings
  • Manage and maintain the CRM system to ensure accurate records
  • Use Concur for travel and expense management
  • Provide customer service by answering queries and managing customer relationships
  • Utilize excellent communication skills to liaise with members and their assistants
  • Maintain and manage calendars for four senior leaders, ensuring all appointments and meetings are scheduled and conflicts are resolved

Requirements:

  • Proficiency in using Concur software for expense management
  • Experience in using CRM software for managing customer relationships
  • Excellent skills in calendar management, including managing and maintaining calendars
  • Strong communication skills, both written and verbal
  • Experience in handling and coordinating conference calls
  • Ability to manage daily schedules and coordinate schedules for multiple team members
  • Ability to handle schedule conflicts, schedule changes, and scheduling meetings effectively
  • Experience in scheduling management, including managing appointments and supporting schedules
  • Ability to answer inbound calls promptly and professionally
  • Experience in answering and managing a multi-line phone system
